A clinic's receptionist was answering every WhatsApp lead alone and confirming appointments one by one. An AI assistant now handles the first conversation, confirms appointments and sends a reminder the day before, and the team steps in only when the patient wants a consultation or asks something outside its knowledge base.

Problem

Leads came in on WhatsApp asking about procedures, prices and times, and the same person who answered them also confirmed the schedule for two practitioners. People who stopped replying fell through the cracks, and since this is a medical field, the answers could not promise results or show before-and-after photos.

Solution

An AI assistant on the official WhatsApp API, on the clinic's own server, trained on the questions and objections the team answered in writing: it answers questions, sends the material for each procedure, qualifies the lead and hands the conversation to the receptionist with a summary, in the team's inbox. Appointment confirmations and next-day reminders go out on their own, with a button to confirm or reschedule, connected to each practitioner's Google Calendar. The tone was tuned with the team during testing before going live.

Result

Live on October 16, 2026, eight days after the project was hired. In the operation measured between October 20 and 24: 30 new conversations, 127 replies from the assistant, 18 confirmations and 12 reminders sent, 21 appointments confirmed with the button and zero failed messages.
